So the only guide I could find on amazing charts and updox was mostly concerned with clinical summaries and setting up the patient portal. However to the practice I work for, the main selling point was the fact we should be able to put patient medical records on there. Now I get I could use say the formal medical record save it as a pdf and then send a message with it as an attachment. However I feel like there should be a much easier way to upload a patient's medical record (that needs to include the physical exams from the encounters). Is there no way to actually upload the full encounter data to updox directly?

I'd also be thankful on any advice reguarding imported items as well.

Our office is closing and we anticipate most patients will want copies of their medical records but due to covid we are super short staffed. My belief was that this would be the most effective way to get patient's their medical records while reducing both the physical and time costs associated with that (as we still have 2months until we close and are still trying to keep up with the daily work flow.

MFM, welcome to the forum. Sorry you are joining us at the tail end of your career.
There are a number of ways to export entire charts, but all seem to involve several steps. Since we only do perhaps one chart a month, I have not paid much attention to this. Your situation is different and I understand the advantage of simplifying and automating the process.

I have not played with this, but I would suggest using the recent post by Marc@AC and combining it with Updox. If it works the way he describes, the process should be pretty quick and easy.

I think of a patient's chart as two parts, the encounters and imported items. The first part is relatively easy and you could always create a pdf of the encounters and send it easily. The second part, II, is harder because it is essentially a collection of individual pdf's. What Mark suggests is that his instructions will also print the II the same way, to a pdf. As he describes it, the process will convert the whole chart (encounters and II) into a single pdf file. Print that file to Updox and you can then email, fax, or whatever. (Remember that emailing from Updox is free, so it will be much less costly to send a bunch of charts that way).

If that works, then you are all set.

My suspicion, though is that his procedure will open each II as a separate file. That means you must print each one. This could be cumbersome if the II contains many documents. This is where I am unsure and would appreciate some help from someone familiar with pdf programs. If the process above "prints" to a pdf reader like Foxit or Adobe, and it opens, say 40 pdf's... can you just hit "print all" and they all get printed at once? If so, just print them all to Updox, and they are ready for faxing or emailing.

Please get back to us if you have questions, or especially to report how this works for you. All of us will be retiring at some point, and this might be the most efficient way to deal with the process of managing large numbers of chart requests, especially for those who use Updox.

Thanks for the replys I have been using the print formal record for awhile and imported items are the hardest part about it. Honestly the best solution I've found is just going into a patient's imported files folder and copying them all into a zip/rar folder. However I'd love to be able to just include it as part of part 1 record as one giant pdf- but I just don't think its likely probable as it only gives the option to open in default program. Either way I appreciate the help.

So can confirm that Mark's suggestion does in fact open imported items in the default program. Wendall mentioned in the original post where Mark suggested that about a couple of PDF programs. While I've used PDF sam to merge multiple pdfs, will see if the ones he mentioned would be a better option.

We take the position that the "medical record" only includes that part of the record that we generated.
We send all our office notes and about a year of lab and x-ray that WE ordered.
I don't appreciate receiving hundreds of useless PDF's from other doctors, with ER reports, old labs, etc., and we don't trouble anyone with ours.
