We are about to start the Updox free trial.
Any advice or tips? Things I should plan to learn right away? Favorite functions that I shouldn't miss?

Review their directions on setting up Updox Printers on your machines and get them set up. Their staff are very helpful.

I would create a portal for yourself and then play with all the functions, how to message office, check on results, etc. so that when questions come up in the future you can answer quickly and accurately--

Create a portal page for your practice and include office hours and vacation time and whatever you want to create and design to meet your needs.

Also send out your new 888 fax number to as many offices, labs, hospital as soon as possible if you decided to buy--because once the e-faxing starts coming through you really start to see the improved efficiencies.

Do things in stages and also have the nurse help the doc carry the load with the faxing and portal messaging when that time arrives.

I would consider setting your fax machine to auto forward incoming faxes to your updox number without printing them. This can be reversed easily if updox doesn't work out for you.

I still have my fax number 'ported' to the updox number. This allows everyone to fax me with the old number and have it appear in Updox. I haven't changed this because I need the fax line anyway for my DSL.

Mistakes I've made with Updox...

First, I thought every staff member should have an account with Updox, turns out more than 3 is $10 for each per month. Now, we only use 2, the admin and one for staff. They will kick each other out if someone else logs onto the staff account, so you might need more.

Second, I got a bill for $145 for my first month cause you pay 4 cents/fax for any more than 500/month. You can sign up for fax bundles that can cut it down to 2 cents/fax, but you have to get enough bundles, and you pay for them every month, so watch your statements.

Third, I was reviewing and signing labs and medical info in Updox, and then having my staff put them into AC. It is much faster to review and sign in AC.

Fourth, if you get a lot of faxes, look into a fax server set up, see my posts in the current fax server thread, near the end, about using Updox with a fax server. http://amazingcharts.com/ub/ubbthreads.php/topics/53373/Fax_Server#Post53373

Also, learn how to restart Updox on your server or main computer if your Updox Connector is not working.

We've been using Updox for 6 months and I think it's great. We already had a fax server (in a multifunction printer) that we're keeping. We get the faxes through the old fax line - they are saved in the folder Updox scans for faxes. We do get a lot of faxes everyday, so the fax server helps cut down on the Updox per page fax cost. We use updox to fax out only, which is much better than manually faxing. Updox will keep trying if the number is busy and will tell you if the fax was unsuccessful.

I also thought we need a username for each staff member, but the receptionist doesn't want to use it to scan the new patient forms. She still prefers to scan from AC since she has to open that chart anyway to make the superbill, review vaccines, etc. So now we have just 3 logins.

Also our doctor doesn't want to use it to sign off faxes, since she still has to open the AC chart to look at pt history. She's still doing all that in AC.
