we have drug reps come in for lunches a few days out of the month. there is no schedule for this - i try to schedule it when the doc has a lighter day.
i notice i can't schedule anyone unless they are a patient. i would like the doctor to be aware of this so they can tell me ro reschedule or plan accordingly. i know that i can message them, but they may forget when the time comes around. anyone find a way around this?

We have a patient named Drugrep Lunch. Doesn't tell us who it is but that doesn't generally matter. Shows up on the schedule so everybody knows.

Another easy way is just to use a "Block " for an appointment slot and we type in name of rep, company and their phone number.

We have a patient called "Supp/Lab Rep" and we created an appointment type called "Meeting". We then schedule the appointment and in the "reason for appointment" we type the details of who it is, phone number, whether they are bringing lunch, etc.

I have a pt. named Day Off - then I make appt - set time and put in what it is for - drug lunch, kids soccer game, music recital, etc.

Patricia, here is another way. Click the provider's name at the top of the schedule, then click to the left of the appropriate time slot. The slot turns green and the "All providers" box at the top now says "Block". (If you want to block a longer time, after selecting one slot, hold the shift key and click the slot for the end of the interval and the whole time will be blocked.) Click "block" and you get a box that lets you type in the information you want. You can block 15 min, an hour, or a whole day this way. I think this is what Donna is describing above, but as a new user I thought you might want more detail.

But i agree it would be so easy to make it possible to just click on the slot and say what you wnat ot say in that time slots that you want to block out!

I also use these for events with children like school plays, nursing home rounds. Even if you dont want it for drug reps it comes in handy for lots of things.

Ok, how do you remove the block. It says you have to go to admin which seems a little complicated and I can't get it to work anyway. Must be an easy way to delete the entry.

Yeah, we use "dummy patient" for everything like this. And I have an appt type called meeting. Works well. I only use block when I'm not going to be around as it is not possible to just reschedule the time if the meeting gets moved.
You can remove a block without going to admin. Just reverse of what you did to block. Highlight the small boxes to the left of the time slot (hold shift and click the first and last one and it will highlight them all) and hit "Delete". Away it goes.
