Is it possible to change/adjust a schedule just for a day here and there? For example, if I have a mid day meeting and want to see pts earlier than usual that day or perhaps later - how can I schedule pts in AC that day? Right now I am also keeping a paper schedule that works for these adjustment, but I'd like to keep track in the computer.

Ah! With what I know that might be a problem without changing the master schedule in the admin section.
One way to perhaps get around that is - create a provider called Room2 as first name, have that provider with more extended hours, give full previliges to that Room2 (first name) provider. On that particular day, book the patients under Room2 with different set of hours. During regular day, tell your staff not to book in extended hours. Of course you could still use that Room2 for your own patients if you want to double book for that time slot.

I like the idea of having another provider - I could use it for all sorts of things. I've also created a Dummy Patient to us to practice with and a patient named "meeting" for when we need to book out time during the day, so having a "Room2" provider makes sense. However, since the price of the program changes with additional providers, how do we get around this?

I have a pt named "meeting, scheduled" that show on the schedule as "scheduled meeting". In the comments field I can write any details to the staff.
You can also right click on the provider's name at the top of the schedule and a comments field appears. Whatevery you write in there comes up in bold and is highlighted at the top of your schedule. You cannot miss it. So even if my schedule normally starts at 9 a.m., i can wirte "start schedule at 8:30 a.m." and my staff knows.

I agree with Rainy, it would be great if we could block half days, hour increments, and such. Adil Jaffar's idea of the highlighted top is ok, but if his schedule is anything like ours, there get to be many "reminders" for a variety of things. The eyes just get accustomed that there is "something"going on that day, and may result in booking the time slots nonetheless.

I put this in a previous post. We have a pt named James Bond and he is very sick. We use James as a way to play with new features, allow all of us here to play with and learn A/C without hurting a really pt's chart. Other EMR's have a way to add extra "off line" pts like James to play and experiment with...or family members of the docs that you'd like to track what you do, but not have their "visits" or "encounters" become part of your real database affecting stats both clinical and financial. But I really like the idea of a few false pts to hold spots on the schedule for various stuff like meetings and the like...We have one called New Patient that we use to hold new pt appointments so we don't add a new person until the actually show up and establish with us. Good Idea folks...Perhaps Jon could add such things so again their not like pts adding false data to the database...

Answering the question from Barbara:
Room2 is not a new provider though as admin you gave all privileges. You are not logging in as Room2. You always log in under your own name. (For the obvious reasons- I would tell my staff not to send any email to this Room2 as nobody is checking the emails in this account). When you log in under your own name the prescription and notes will always be under your name. Room2 is just for scheduling, but provider1 is taking care of that patient and billing for that patient services (whether is visit or nurse injection) and as such I believe one is not violating the spirit of the contract with AC re: provider licenses. In my opinion, one would be violating if they put in a legitimate providers name and starting logging under that account, created notes, wrote scripts, wrote orders etc.
Hopefully Jon can clarify this issue.

This just might work as long as it does not violate any terms of agreement in the use of the program.
I created a new user, assigning that user (Extended Hours) provider status. I then was able to create a schedule so now I can see both schedules side by side for the day and can add new pts. When I pull up those visit, it shows me as the provider.

We have "practice pateints" also. Namely, Captains James T. Kirk and Jon-Luc Picard. There is also a female patient, Lt. Nyota Uhura.
Didn't think of Mr. Scheduled Meeting. Great Idea. We'll add him. We didn't add a practice Dr. because I didnt want to have to call AC and deal with the licensing issue. But we could use Dr. Leonard McCoy (or Hank McCoy) or Dr. Beverly Crusher as a fake Dr. so we could try out some features that need full authorization.

we also have fake patients that have multiple problems. jane and jake fake and also added jan and jen. we also have a provider named reminder to use for reminding pts about appts, tests they need to show up for etc. it may sound like babysitting a little but the patients are very apreciative when they get a phone call the day before. we are a urgent care clinic so we do not have specific appt times. but if someone wants to come in at a specific time and we can put them on the reminder schedule. the techs can usually hold a room. we also have a provider named templates. whenever someone comes up with a new template, we input it under templates and then share it. that way your private templates don't get to crowded and hard to find. we use templates alot for both nursing and providers. when you can click on one word and not have to write "pt does not use tobacco, drinks socially and does not use recreational drugs" 30 times a day, you save alot of time! anybody have any questions feel free to contact me dedwards@ausableurgentcare.com
