Hi,
Periodically I get requests for progress notes for medical audit from insurance companies for a number of their insureds over a specified period of time (e.g. request for all progress notes for patients X,Y, and Z from 6/11/11 thru 8/31/11). Is there a quick way to retrieve the Progress Notes specified and print them out-preferably send them to a CD ?
I know that I can retrieve ALL encounters for a patient easily using the Past Encounters Tab and choosing Progress Notes only-is there a way to choose only those Progress Notes in the specified time period ?

Do you ever stop and think about the many federal and possibly state rules that might allow you to NOT send them any or at least some of their reqested info, fishing and hunting trip stuff? We don't always have to comply as many times they are requesting what they are NOT entitled to but are hoping to spy on you, your charting, are slowly building a record of your charting and coding habits to possibly one day throw back in your face....
If someone was not your patient during those times then they can not ask you for it even if you have the old records, if someone was NOT Their customer during those time periods then we don't have to and shouldn't send out this kind of material either... There are a number of ways to limit or not comply and we need to be familar with those rules and laws to limit their spying on us and our patients to use against both of us in pre-existing conditions rejections, and chart reviews and give backs....

I do not send them anything. I tell them they are welcome to send a representative to my office to review the records but I will not copy anything for them without being paid to do so.

The representative has been to my office and scanned in paper records previously, with proper authorization and the approval of my state medical organization. I really don't want the representative in my office and would rather send them the records, but now they are in AC and not on paper unless I print them out, fax them to the insurance agency or scan them in a send them a disc. That is why I am looking for an easier way to do this job.

Dr. Dino: I agree with the protests above and will not pile on. I would certainly charge the insurance company the same copying fee that you would charge a lawyer, etc.
To answer your specific question, if you go to the chart tab "Past Encounters", at the top left pick the appropriate radio button (probably "progress notes only"). Then at the bottom left you can set the date range of your choice.
