HI all question for you, my receptionist is leaving. All of my reminders for my patients have been sent to her, that includes all physical reminders etc for the next year. How do I change these over to a new person??? Thanks much! Alex

As far as I know, you can't. This is a big deal with me too. The only thing I know to tell you is to pull all the messages you sent to her back into your box and then redistribute them from there.

This is one reason we don't send the reminders to an individual staff member: we created a "user" named "Dr. Reminder" and send all of this type of reminders (recalls) there. A staff member then logs in and gets the reminders; anyone can retrieve them.

I have set all reminders come to the provider, then I send them out to the appropriate staff. Having a Dr. Reminder box might bee a goo idea, that box tends to get ignored during busy times.

There really needs to be a universal box that anyone can access under their own log in. Only rarely do I need to send a message to a specific employee. Most of the time the work could be done by the first person who has a free minute to get to it.

When you send to 'nursing,' does it come up in all the 'nurses' boxes? If the messages go to 'Dr. Reminder', do you have to keep on the staff to check them?
Sorry to hear your receptionist is not working out. I have a CMA for a receptionist and actually an EMT3 for my assistant. It just evolved that way. My receptionist has been acting more discontent lately. I'm also frustrated because no matter what, I can't get her to remember or prioritize getting the chart pictures. I really like have pics on the charts. I would hate to fire her over just the pictures...

I have had the same problem of staff forgetting to get pictures. I solved that by having mobile (i.e, not a part of the computer itself)webcams connected to my laptops in the rooms. I can then quickly add a patient picture or capture a dermatologic or other clinical feature. You could also take the pictures yourself on your smart phone or a small digital you keep in your pocket. Then hand it to the staff and have them download them into the charts.

... MAs, and myself, are set up as "Nursing" staff. The nursing mailbox is a group mailbox, and any part of the "nursing" staff can see it. We dont' send them individual messages. The nursing message box is used as a kind of "to do" box for all of them, and I can monitor it to see that it gets done. Its mainly simple things like contact this patient, or send this patient a copy of his labs and my letter.

Another option for the original question. Just sign on as the adminsitrator, reactivate the account with another password, then sign onto it and forward the messages to whomever you want. Once the inbox is cleared, deactivate the account again.

I am in your situation it is me and my receptionist. I don't use reminders. What are you guys using reminders for? checking labs? etc? please fill me in as maybe this is osmething i should use at some point.
as for boondoc and the photos and patients, have a conversation with her/him and say look part of the deal is that you need to take the pic and ask or find out why she/he won't do it...being lazy isn't acceptable as that means they will be lazy in other situations.
i find that with my one staff member when i talk to her about the good things she does and then say this is an area of improvement, it works everytime.
we have a webcam but she won't take pics because we don't have a place to take them. the waiting room is directly behind where the patients check in so we can't take pics because you get other people in the background. in our new office we are going to have a spot where the cam can reach so the patient is against a blank wall.

I use the reminders for physicals, labs, follow up appointments etc. to phone and follow up on folks too.
I too use the webcam, usually it gets done but.....

Giving the other MA the job of photos seems like giving up, as does resigning myself to take them myself. I'm thinking along the lines of, you will not be eligible for raises or bonuses until you get the pictures done.

After we verify ID we take a photo and put it in the demographics, that way when they come in again we verify who they are without asking for ID. I dont do this on tourists as the likelyhood we see them again is nill.

You have to ask for ID to know the patient? I am not being judgmental. It's just that somehow we just know our patients. Maybe part of it is that we require insurance verification at each visit. Of course, I guess that is some form of ID, lol.
We would definitely take pictures, but here again, is one more problem with pediatrics. I guess we should take the parents'. Of course, since they hate each other, we would have to keep them apart, lol. But, MANY times we bring up a patient, and from memory I don't know who they are. But, the parent's picture would fix that.
Not sure keeping back bonuses (at least telling them that) would be a good idea.
If they refuse to have their photo taken, ask them if they have a Facebook account.

Now Bert, Isn't it true that most of the patients in central Maine are all related? You could start taking PICS and then put them in a family photo album. I'm thinking about trying this in SW Iowa.
Boondoc, I have a problem getting my staff to some basic EMR and office tasks as well. I keep on repeating, "But, I own the store." Frustrating aspect of solo practice, privately owned and operated.

@Tom, yes they are all related and now I am related.:)
I have found that the problem with staff in a small office is it is difficult not to become close, AND most of my staff are irreplaceable.
I know, everyone will say, everyone's replaceable, but it would be hard.
The difficulty is we are not an owner or VP in a company with thirty employees that we don't even know. If their supervisor came up and said that one has been late five times last month, it would be simple to say, well get rid of them then.
