So this is the first time I have multiple providers in my office. It's difficult for reception to route all the I.I. to the right doctor or PA. Do they just have to remember what patient goes with what provider? When labs are faxed from the hospital, for instance, of course AC and Updox don't have a provider label. I've heard in the past of some of you making a provider called Reconciler, and putting everything in one box. How does that work? Do all providers go in and work on signing that stuff off? I wish that letters, scanned consent sheets, and so on didn't need to be signed off either.

Please share with us your process.

In my office the staff views the faxed report in Updox, which usually has the ordering doctor's name. I needed to train them of course, what folder to assign for radiographs, labs, consults, etc. If they misfile, when the doctor views the report in the sign-off window, it can be routed to the correct reviewer by using the "Transfer" drop down at the top of the window.

Which version of Updox are you on? I have the ability to select the provider I want to send it to; it asks the user to select the recipient. Your office staff should know who sees whom; unless you have a larger multi-physician practice, but they should be looking up the patient in AC prior to uploading documents so they'll know which provider to select in Updox.

All of our Updox folders carry over to AC so they match. We have different labels for different item types; we have a Hospital folder for miscellaneous hospital items that aren't fully categorized, EMG/ECG for electrical studies and cardiology reports, Radiology for all rad studies, etc.

I know when I get hospital labs in a batch, I title it "Inpatient Labs xx/xx/xx - xx/xx/xx", send it to the Laboratory folder and the recipient is always the physician; I have a dummy account there, test test, or something to that effect from an Updox troubleshooting incident, but Updox automatically defaults to the provider, so I don't have to change it.

You can create a folder in the admin account of AC for "Non-Medical Information" (or title it whatever your needs are) that doesn't require sign-off. For scanned items, for instance, we use Non-Medical Information for their insurance cards/IDs/POA documents, etc. Having too many folders that don't require sign-offs creates more opportunity for mistakes by the staff and missed information for you that could be important, so the aforementioned items are the ONLY things that go in that file, at least in our office.

I wish there was a way to send it to the AC Providers inbox, and then we can share the sign off of all our stuff, especially like when away on vacation.

I have essential a three provider practice, myself, and two mid-level providers. We tend to do the Sorting of documents in updox. Each provider is given a different flag color. The staff will sort the items that need to be reviewed into the different colored Flags. Some items such as insurance cards that don't need to be reviewed before filing will just be filed by the staff. Each provider will then review their flagged items and address them. They will then mark the item a different color to indicate to the staff it is ready to be filed. On the AC side of things, we have the opportunity to reconcile or what I usually end up doing is just bulk signing off on all of the items, because they have already been reviewed and addressed.

ON a side note, we used to be able to drag PDF or other files into I.I. Now you can drag in but not out. When did AC change this? Is it to prevent easy transfer into another chart system?

Clem Surak: Is anyone else using ACPM and the EOBs are not matching up to patient accounts and the EOBs are having to be retyped into ACPM? Started a couple of weeks ago. Payer IDs are correct and match the EOB payer IDs.
tcosta: @ Clem Surak: yes, this has been going on for MONTHS in our office. We've been told it's the payers fault and it has to do with loop segments and payer response. Doesn't make sense to me, considering it's ALL the time now on multiple EOB's a week.
tcosta: It almost never used to happen and now it's constant.
tcosta: ACPM is extremely short staffed and it's taking them days to respond and fix the issue.
