We do not use AC PM but my biller does get the daily charges off AC and enters them into our billing system.
When we have a pt walk in for a flu shot, for example, and they do not have a scheduled visit, the staff has to open the chart as if it is a visit, go into decision support, enter the vaccine and close the chart. Then they go into accounting and enter the charge for the admin and vaccine.
First, is there a better way to do this?
Second, when it is done this way, though the biller seems to find the charges, the next time I see the patient when I sign off the note and the charge screen comes up, there is the vaccine and admin charge from the flu shot six months earlier and I have to delete it. Something clearly is not right about the way we are doing this.

This was a problem for me until we figured that the charge for the vaccine remains in "limbo" if the provider signed off the chart before the person giving the shot signs off the order. (you would know this because the provider would not see the charge for the vaccine when he/she signs off the chart and would have to manually add the vaccine charge before closing).If the patient comes in on a later visit, upon completion of the chart, the charge shows up when the chart is signed off by the provider.
This is the way we do things in this office. All vaccines need to be ordered by the provider before they are given. Whether the patient is a walk-in or scheduled patient a chart is opened and sent to the provider. The chart is opened by the provider while seeing the patient and vaccine is ordered. If the patient is not being seen the provider still has to open the chart and order the vaccine. Vaccine is given by nurse and the nurse signs off on the order. Throughout the day or at the end of the day the chart is completed by the provider, the chart is signed off and the vaccine charges can be seen.

Hi Dr Leeson,

Try using the addendum to document walk in flu shots. Here is the procedure for that:

- Right click on the patients name and select "Add Chart Addendum"
- Change the type to "Procedure"
- Enter the chief complaint" in the subject (ex: Walk In Flu Shot)
- Click the "Vaccines and Heath Maintenance" button on the right
- Document the immunization as normal and click "Save and Close"
- you will see the immunization information documented in the addendum.
- Click the option at the bottom for "Save as Addendum"

Doing this will prompt you to create a superbill, select yes to create a superbill for the charge.

Doing it this way will prevent the charge from showing up on a future visit. Also your nurses can do this and create the superbill without having you to sign a chart. I hope this makes it easier for you.
