We have a MA coming in next week to assist us while another is on vacation. In the past, I've always set up a person-specific user, but that's really cluttered up our user list (even when deactivated, the entire list of users appears in various places throughout AC). Just curious what everyone else does if they have a temporary employee coming in for a short period of time. Any reason I shouldn't set up a account named "Temp MA", which could reused in the future by another person?

Anne-Marie... are you on version 9? One of the sometimes overlooked improvements in the new version is that those deactivated users no longer show up on the sign in or message lists.

Hi Anne-Marie,

A re-useable account is fine, with a few caveats.
<1>Hopefully you have, or will institute a bound journal of the practice that is written in a linear fashion, much like the deck log of a vessel. Make a note of the date/time they start, and the date time that they last use the account.
<2>Change the password after each use of the account and record the change (keep actual credentials separate)
<3>optional - deactivate the account when not in use

Other recommendations
- clear messages each time the account is closed out
- don't have a temp set reminders
- if they use Updox, have them send from the practice, and not themselves

You can actually deactivate users in prior versions of AC. Once deactivated, AC needs to be restarted else they keep showing up as a user

There are certain areas of AC where they show every user you've ever set up in AC, even if that user has been deactivated. Order reconciliation messages is the one I deal with the most. It's not a show-stopper, but it's annoying as heck to have to scroll through a bunch of people who only did temporary work for us for a week or so. If that goes away in V9, I'll be a happy camper.

Could probably remove the user entirely through SQL. But, I wouldn't if you are going to continue adding users.
