To limit the number of inactive accounts we have, is it possible to change the user name of a former employee?

You can inactive a former user so that they don't continue to show up in your dropdown list, but you can never change a username to another name if the intent is for the new user to basically be the old user.

Once you make a user, even if you do not do anything with that user, they are there forever. This is due to the fact that everything the user has ever done: write a note, send a medication, send or receive a message, enter a new patient is linked to that user.

*I should rethink this a little. You cannot delete an account. Playing with it, I suppose you could change the user account to reflect that person's name and permissions, etc., but you will notice that the username and password is greyed out. The password can be changed, but it stated "Lock out" so I don't even know if that is simply to keep that user from logging in temporarily. But, SQL will use the username and the number associated with it for everything that account has done. So, for security and for the safety of the new user, I don't think it is a good idea. You would only be able to go by dates. For instance, the new user would have to log in using the other username. That user name would be what would be in the dropdown list. It just isn't a good idea from my cursory thinking.

What do we do if the user's last name changes due to a change in marital status?

You cannot change a user name once it has been done. That person would either have to continue to use their current user name or create a new one for them.

You cannot change the username. But, you can edit the user's account. The only thing you can't change in their account is the username. It is tied to everything.

But, you can change their last name in their name above. So, it would be saved to chart by Mary Smith. Then if changed to Mary Jones, it would be saved to chart by Mary Jones. But, it would be the same account. Same user.

I am not sure what you use for usernames. By default, our usernames are the first names. We have been lucky that in over eight years, we have never had an employee with the same first name as another. I supposes you would then have to use just their last name of first name and last name's first letter or whatever.
