AC has a tab under demographics for records request. It is not populated. To document request for records we create a message to document in the chart who is requesting records. How can we start using this tab and when does it get populated. You cannot add from the demographic window, so what is its use. Using the tab would be a quick way to see who requested records or notes.

From the PAST ENCOUNTERS tab, when you go to print a chart (Select File, then select either "Print entire chart" or "print partial chart"), this will open up the Release of Records window. Enter the information on whom is requesting records. After you enter SAVE then print the chart, this information is then transferred to the RECORDS RELEASE tab under the Demographics tab.

Is this window not popping up for you? How are you printing your records?

Print notes one by one. The problem is that a lot of times only one or two visit dates are needed. You will have to print them one by one and there is no where you can do that. The patient a lot of times have too many visits and if you print the entire chart you are wasting paper. If you do it this way we have to save a message on the patient's chart that records were printed and sent to whoever is requesting the copies. If there is no way to document the releasing of various visit notes to someone in the appropriate place in demographics this is a USELESS feature. I guess it may be a suggestion to AC development staff to incorporate it in the future.

here is what I do ;
go to past encounters , choose 'print entire chart' then fill out the HIPAA form and save.
then go out of the chart to the AC desk top , highlight the patient , choose the 'patient' tab, then print option , then encounters by date range. This records the record release details in demographics but you do not have to print the entire chart just the dates you choose. Once the record release form is filled and saved you can print either the entire chart or individual encounters - AC allows us to do that.
Also if your Rolodex is populated with the details of the recipient once , each time you fill out the form it gets autopopulated for that individual . I use version 6.3.3
