Hi there
since the recent update, now all the vaccines I input post a CPT code to the superbill for the doctor:

1) I have that admin box UNchecked

2) some CPT codes are wrong; if I cannot stop it, can I at least fix it?

I had to go through and remove some codes manually since they were wrong [Influenza]. AC also would not let me correct the vaccine ADMIN codes, so we enter those manually also.

I put all the vaccine and admin codes into 'quick code' section

I agree with Roger, the influenza code is wrong in a couple of cases. What other codes are you having problems with Julia.

Have issues where vaccines given on prior visit show up on next visit
Also for others such as Rocephin

Have brought this up to AC

Only suggestion is to turn off automatic add to superbill
feature
Anyone has any other suggestions?

Sunil, this is an issue when you complete the chart before the MA charts on the vaccines/injections. I agree the solution would be to turn off auto add, but when I went to look for where I thought that feature was, I did not find it. That would be a reasonable answer to that problem.

The other problem, that Julia brought up, is incorrect CPT's. I, and I suspect AC, know about the influenza vaccines. I am not aware of any other ones that are not correct.

Good Afternoon,

Will someone please update this when there is a fix for auto add. I am waiting to update AC until there is a fix. We use vaccination codes daily and this would be a BIG problem not working.

I believe the auto add is in two places: the first place is
1- Administrator options > Define Order & Order sets
Uncheck Bottom left of that screen has a check box "auto-add to bill" for all tests and procedures

2- Administrator options > Miscellaneous Preferences
Uncheck Bottom box : Automatically include CPT in superbill when immunization is given

one other vaccine that is added wrong to SB:
hepatitis B....we use the pediatric version (90744) but it adds the adult version (90743). When we don't use the 90743, it goes to the "you have unbilled items" notice.

FYI I have taken off the "auto add" in different places but it still adds them to the SB.

1) admin; orders; each individual "auto add to bill" has been unchecked.

2) admin; misc pref; unchecked "automatically include CPT when immunization is given"

let me know if I am missing anything.

In the admin section under define orders & order sets, you can change the CPT code along with whether it is auto added (see Roger's (NY2GA_Doc) note above. It USUALLY works but sometimes still adds the code. I believe it WILL change the code.

Quick question along these lines: How are you guys adding Vaccines (both the vaccine type and the administration fee) to the chart in the first place?

In our office the doctor verbally orders the MA to administer vaccines. The MA adds it to the chart via the Decision Support window. After doing that, to my understanding, AC only logs it into the Summary Sheet under vaccines but it does NOT add anything in the note. If the Dr. does not type this into the chart later then it is left out of the encounter note.

Since we do not use any billing features in AC we don't look at what is automatically added to the superbill. But out of curiosity in case we use the billing section one day, how would the CPT codes and Dx codes be generated? Does the Dr. have to create an order while he is charting?

My staff uses decision support to enter the vaccines;
It shows up on the plan;
It is automatically added to the superbill;

Hmm. Roger, what version are you on?
I just did tested your steps on a dummy patient and it did add it to the plan but I don't remember it always doing that. We recently updated to 7.1.2.

We use 6.6.1
AC started doing that with 6.3.x I think;
Make sure the codes are right ;
AC standard programming has codes not used in 3 years

Figured out why it doesn't add to the plan is because the chart is not forwarded to the MA when she goes to add the Vaccine.

I called about this issue a couple of months ago, and they told me that it was "a bug" and nothing could be done about it now. They said it was on their list of things to fix.
