Hello all
Wanted to see what the procedural folks do to recall their patients- for example, repeat colonoscopy in 3 years for polyp follow-up. I want to be able to run a report every month to get the patients due and give it to my staff to call.
I have not found a clean way within AC to do that.

My guess is anyone who had a colonoscopy would have the word somewhere in their progress note, so you could search --> Notes and Encounters --> Any Field (contains).

I think it would be easier to do this in advance, say via tracked data or maybe easier to use the Chart ID (Misc. Field 1) and enter colonoscopy and save. Then any time you wanted to pull up patients with a past colonoscopy, you would simply search on that.

Probably a bunch of ways.

I just put it in tracked data where I can find it easily. I can search based on date in tracked data. I also send a message forward. I use multiple processes in case one doesn't work. We all know that none of this is really ready for prime time.

Khaled,
I have asked this question before. I think our needs as gastroenterologists are different from what the primary care providers use. I will try to post our approach this weekend.

Good morning
I neglected to tell what I have been actually doing so far. I put in the Plan section something like "repeat EGD in 2-2014". And then in Feb 2014 I run a search on "repeat AND 2 AND 2014" on the Plan field. Works but not very smooth.
I haven't tried to use the custom fields in the Demographics section. Not sure if they would work better.

Well, given Jon is going to give you his system, my guess is it will be very good.

One just popped into my head, so I thought I would share it with you. You could make new flags and call them 0214, 0215, etc. You could do one at a time or let one of your staff go out four years. I am not sure how many flag categories you can keep.

Once you set a flag on the patient that needs an 0214, you can easily search him by going to demographics --> flag name = 0214. All pts will come up. I guess another advantage is every time you see a flag on a patient's chart, you can check so you can either remind him or let him know he missed the procedure.

What is wrong with just putting a reminder on?

We use decision support for that. We have the colonoscopy rule setup to look at people from 50 to 75 and have it reoccur every year. Then when we get a result or the patients tells us we document in the rule and change the timing of the rule to just pop up again when the patient is due 1 to 10 years. You can then go run a rule on health maintenance and select the colonoscopy rule and query if it is due. You should get a list of those patients that are due.
