According to my AC utility, it states I have 36,000 email messages in the system. I have got my existing staff to delete all unnecessary messages but still have over 30,000 messages. I wonder if these are in staff that are no longer active. I was wondering if there was an easy way to delete all messages from these people or do I have to reactivate then log in and manual delete all the messages.

Hello Satis,

Unfortunately, there is no easy way to delete messages for inactive users through the program. In fact the method you mentioned is the only way to do it. Please contact support, we will be able to run a script for you that will delete the unwanted messages.

In the meantime there is a preference you can turn on that will automatically clear the "Deleted Messages" box when logging out.

On the main screen of AC, go to Edit -> My preferences -> User Preferences.

In the Messages section check off the box for "Automatically clear "Deleted Messages" box when logging out."

This is not a practice wide setting and will have to be done for each user.
It should help keep those message numbers down to a manageable level.

This does not seem to empty all the deleted messages. It still shows I have over 27,000 deleted messages but I have tried to remove all but it seems to not respond and then when it does it still shows all messages in the deleted folder.

Can you describe this in a bit more detail? How many staff are we talking about? (Active and inactive)?
The messages may NOT be deleted ones; your inactivated staff may have messages in their inboxes.
OR the messages may be deleted, in which case they could be in anyone's box (active or inactive providers).
So I would start by having each provider check the number of messages in their deleted box, report that number to you, and then delete all from their boxes.
Meanwhile, you go to each of the inactive employees, open their boxes, and look at the total number of messages (not just deleted) and delete them all.
Let us know how that goes...

By the way, I have one password that I use for all inactive employees; when I inactivate someone, I first change to that password. That way if I need to go into an inactive employee's box, I don't have to remember individual passwords; I just use the one.

I think this is confusing due to nomenclature. We are using the term "deleted" items in different ways. You can delete messages from all of the mailboxes of a user or there are deleted items. With every user, you can delete all of the "deleted" items with one click. Also, if you check the box Craig was referring to and close your program, it will delete your "deleted" items. But, you are first going to have to go into each user and delete the items from their inbox, outbox, etc. and then delete them from "deleted" items.

That worked. But because I had over 27,000 messages in my deleted folder it took awhile for everything to be deleted
