I just got a phone call from an insurance rep. The are saying that for medicare or any of the medicare advantage plans you have to have a time stamp next to the signature on the progress note when it gets printed out. I looked at the progress and it is true, there is no time stamp next to the signature . It is on top of the page when you sign. The auditor says you have to have a time stamp next to the signature and that is the law. Does anyone know how to get a time stamp next to the signature?

If you go into the bowels of the program you can find out exactly the date and time and work station and person who has done anything done in the program. Maybe it doesn't print on a paper copy but it is certainly auditable. I would not take an insurance reps word as any kind of gospel. I would relax.....your emr is certified. Sounds like they are trying to bully you.

I agree with St. Lawrence. Been billing Medicare (especially) and advantage plans (to a lesser extent) and have been getting paid; the proof is in the pudding.
Next time you talk to the rep, explain that YOU have a rule that people need to know what they are talking about when they tell you stuff. You could also ask him to point you to the CMS regulation that says this.

Well it is from one of the IPA's rep and I am investigating it more.

They are going to send me the info from CMS. She is saying that there has to be a date and sign off time next to your sign off name when they see the progress note.
If MEdicare ever audits then they can disallow the note and say it was not done properly. This IPA has forms to fill out and I also have to fax in the progrees notes when they caught this. They disqualifies 3 of my forms because of this. They said to get credit, since there is no date and time stamp, I have to write out the progree note by hand and sign it with a date and time right there next to my name. Ths is ridiculous, so every medicare pt has to be done with paper chart and everyone else put on AC?

If this is correct, this will affect everyone on here who sees medicare patients becuase Ac doesn't have a time and date stamp next to it. If I get the letter I will post it on here. In fact, I know many EMR's that don't put the time and date stamp right next to the name at the bottom.

All notes are date and time stamped. It may or may not be initially visible, depending on user preferences.

There is an option to put user name and date time stamp on each field. This is in the preferences (main page, edit menu, my preferences, user preferences, documentation preferences, top of the page)

That should give you all the visible documentation you require.

thank you wendell so much. You are a lifesaver. It worked. I thought I was going to have to change to eclinicals. We are going to call the IPA tomorrow. Hopefully they don't give me more crap and say the time stamp has to be next to the electronic signature. The time stamp is below the note where the elctronic is to the bottom right.

Well, when you click on time stamp, it prints out updated on date. The rep says it has to say signed and date time stamp.
Anyone have any other ideas?
