We are not going to use the order tracking system in AC. At least not yet. This may not be the best but it works so far for us as new users. What we do is take the plan, things like Chest Xray, Labs at this lab, Labs at that lab, Colonoscopy and so on. We create a message to a mailbox called "NOTE" Manually we add these items to the message and send it on its way. This message is color coded RED. The Dr. still reviews and signs off on all items that come in. Someone logs into the NOTE mailbox and highlights the message and sees what is do for that patient. Reviews the items and what has come back, when all items are complete we forward to the Dr's mailbox. The Dr. sees RED messages from NOTE and knows that all items requested have been received and the patient is ready for a results note.
This use to be done manually where we had a plan sheet and physically paired the results to the sheet and crossed off what was done.

Peter,
I don't know if you saw this post where I describe our approach to order tracking. It has some similarities to what you are doing.

Peter,

We use a version of what Jon describes in his linked post above. It works great. We created a username called "FOLLOWUP". Anything deemed worthy enough to keep track of is sent to that user. We use this to track abnormals etc.
Our front office staff all have access to this username. As things are reconciled (ie results of follow up studies, consults etc), they are deleted from the inbox of the FOLLOWUP user. Anything still listed in the inbox is pending.
