Hello,
I am new to this forum- I have been using Amazing charts for 4 years, but recently upgraded to version 5.02. Among other small problems my biggest problem is following-I am a specialist & after finishing my notes, they need to be e-faxed to primary physicians. I want to know if the note that I have already signed ealrier in the day can be faxed by my MA to the PCP office. So far they have been sending from my logged in screen because they send it from recent encounter screen - as I don't find any other way to send notes from past encounter screen- I can't pull letter wrting screen from past encoutner screen. I would like them to be able to send the ntoes from their logged in screen from past encoutner- so they can work through the day & send notes & they appear to be signed by me & not them ( which they do if they send from recent encounter screen through their logged in screen). I hope someone else has the solution as this has been very frustrating issue for me all this time that I have used Amazing charts. I would be very thankful if someone can provide solution for this as technical suport has not helped with this insptie of repeated reminders. Thanks for any input on this matter.

I guess the question is whether you are generating a letter yourself. If you are wanting to do this easily - do your chart note and then sign. Then when it comes up to the print/send letter screen go down to the letter writer, choose who you want it to go to and generate letter - use whatever template you want and make the letter. At the bottom you can include demographics as well as whether to include the chart note and hit print - print to your fax driver and choose destination - done.

It sounds like your issue is that you are not generating the letter yourself and if you have have your staff do it then it will have their signature. Otherwise you can do the same by going into administrative options and assigning your name/signature to their info and when they are logged in it will sign your name, but that also gives them the ability to generate letters with your name and signature without you seeing them.

Thanks a lot for your reply. You are right- I am not sending the notes- I have created templates for my MA & after I sign the note- they just have to use the templates & add info from the notes- saves my time. I would appreciate it if you can elaborate on how to change the info so the note appears under my name as opposed to theirs. So far I log in for them & then they send the notes, but I don't like the idea of them working udner my name ( log-in-screen). Also when they send notes at a later time the time of appointment on the letter is the time the note was sent, not when the pt was seen- is there a way to send notes from the past encounter screen- that way the note sent is what I have already signed showing the time the pt was seen. Thanks a lot for the response.

I have a problem in that I am writing the note and generating the letter myself but I do it after the referral is set up by my MA. It seems that unless I go in an edit the letter so that it is signed by me, it is signed by the last person who used the account. For example if my ma wrote a letter to the patient with info regarding their appt with the specialist, when I go in and write the referral letter to the specialist, it is signed by the MA unless I change it back to me. I'm log in as me and my MA is logged in as him so we are very curious about this. It is a pain. Each and every time I must change the signature back to me. I haven't figured out the cause or solution yet.

I am not wuite clear about your process, but it seems to me if your MA updated info last, the note appears under his name. What I was told by the tech support is that the note appears under the name of the person who is logged in at the computer which makes sense, but I want to save my time by having MA send the notes- they are just using my templates to send the notes. As I mentioned before if there was a way to open letter writer from past encounter screen to send the signed notes- that will avoid this confusion of who is logged in or who updated the note last!!

If you go under ADMINISTRATOR OPTIONS and USER ACCOUNTS, then pick EDIT EXISTING USER - you can leave their user log in name as theres and change their information to your name, degree and even import a signature. Then whenever they are logged in under their name they can type a letter and it will be signed by you. Unfortunately to do this without making you cosign it you will have to give them high privileges, but I think you can leave their privileges at whatever they have now and after they print letter (from main screen) and then attach last note (which I am assuming you already finished) they can fax and then the letter will come to you to cosign.

There is a simple work-around for this.

Under administrator options, you can edit the current users such as your MA. You can leave your MA's security preferences the same (i.e. nursing) but change the name at the top to your first name, last name, and degree. Also enter a picture of your signature. Now, if she writers a letter, it will appear to have been signed by you even though he/she is logged in under "MA".

It's very easy to get the letter writer to come up. Just right click on the patient either on the schedule or if you pull them up in the patient list box...select "Print Notes and Letters".

This technique (not sure who started it?) has been use for years if one wanted their MAs and other employees to be able to send scripts by fax.

I am still confused and having problems with this. I am logged in as me. I right click the patient and bring up the letter writer. The signature on the letter is my MA. I don't understand why this is. I must go in and edit the signature to be me. Sometimes I don't notice that the signature is my MA and I end up having to redo each and every letter for the day or send them out as signed by my MA. I understand that if signed into AC as MA one would expect MA signature but I don't understand why it is that way when I am signed into AC as me and I am writing the letter myself?

To my knowledge, the only reason this would happen is if your name is placed incorrectly in the "user setup" under administrator options or if you accidentally log in under the wrong username. You may open the user set-up and assure that each person is setup correctly. I don't believe I've heard of any bugs with that part.

Are you doing a new letter logged in as you or are you looking at the ones you had the MA do? Ones they write will have their name - new ones that you write will have yours.

I thought that I had it figured out but I don't. The ma is signed in as the MA and I am signed in as me. I send him the order for a referral and the reason for the referral in the comment area of the referral. He sets everything up and sends the patient a letter with the details....logged in as him then he sends me a note reminding me to write the referral letter to the physician which I do logged in as me. The problems then is that when I write my letter logged in as me it will sign my MA's name unless I edit it to reflex that I am sending the letter. I don't understand this as we don't even use the same templates. This only started a few weeks ago. It used to be my name if I wrote the letter. It is easier to just change it right now. Will need to check it administratively when I have some time.

You need to go under administrator options and check out your user account. Try printing a scrip and see if your name is printing on the bottom of the scrip and your signature (if you have one scanned in.).

I did make the changes as suggested by all of you & it did fix the problem of my MA being able to send the notes & they showing up under my name. I appreciate all your help in the matter. I had another question about the templates sharing between me & MA. Since the upgarde to version 5.02 she is not able to see some of my templates. I have gone to Admin & shared them again with her, but she is still not able to see them. Any input is appreciated. Thanks, Verma

St. Lawrence,

This is one of those things that would be ideal to use chat for. The tech can remote into your computer and watch everything you are doing to see where the problem is, whether is is with AC or with something you are doing. Would probably take all of 15 minutes.
