We are newly incorporating AC into our practice and went live last week. I couldn't find an answer to this question doing a search of the forum so any assistance is appreciated. Is there a way to create a global new item description (e.g., Controlled Substance Agreements) to easily sort scanned items into the system? Currently, we are scanning them as "Other" and then right clicking and editing the Item Description as it then allows for free texting. Thanks for any help.

First, welcome.
The easiest way to achieve the sense of global classification is to (use Updox to) create the category (e.g. Controlled Substance Agreement) and then you can easily file them as you encounter them in the workspace.

A new look at the Imported Items area is on AC's road-map for later this year. This is one of the items we will be suggesting that they look at, though as Indy says, Updox takes care of the problem to a large extent.

Updox is not the magic bullet, but it is a large improvement on default Imported Items behavior.

I'm with Indy, UPDOX at the moment is your best choice for global filing. Having to individually go through and change each import is a pain.

I think I may be missing a step after I have created and saved the categories. They aren't showing up within Amazing Charts for some reason. Is there an additional step that I need to take to activate the changes?

Brian, I don't think you are missing a step; you are just seeing the limitation of using Updox for this. The new categories are created in Updox. Any item imported through Updox can be put in the new category and will create a folder with that name. Until you import an item in that category, it will not show up in AC's imported items. Even after that occurs, if you import directly (say from a scanner or from your desktop) without Updox, you won't have that category as an option.
I agree with Indy and Marty that Updox is great for document management, and this feature is useful. It would still be very helpful for AC itself to allow creation of categories in Imported Items.

Agreed - AC needs to revisit Imported Items, just as the working group I facilitated at the 2011 ACUC on Orders identified what to tackle then. Proof is in the doing, but I hear that a whole wave of fix/improve is on the map for the core product. Might even be a good question for those in attendance next month .... *hint*

Oh, I see. Thanks for the explanation. We have the basic version of Updox which comes with Amazing Charts for patient portal, etc as opposed to the full version; I'm assuming you can only use document management with the paid version. Being a small private practice with two providers we try to cut costs everywhere possible as many of you do as well; Updox is just a bit more than we currently want to pay monthly. As an after thought, does anyone use FaxAge for fax management? We are thinking of using it since it is only $30/month for the plan we would need.

If you already have a fax line, you can use a fax modem and something like SnappyFax. One time cost.
If you receive a large number of faxes or have a server/client environment, I would go with a fax server.
