This would cut my costs a lot and there are vendors that will send PDFs encrypted with PGP or S/MIME, which I think would make it HIPPAA compliant. The problem I am having is finding a plugin that will permanently decrypt the PDF in Outlook or other mail client so I can upload it to Updox. Anyone out there using an eFax service with a solution?

Why don't you get a fax server/fax board? Faxes will come in as PDF's straight to a shared folder. It uses a simple phone line. Bert can give you a better idea. But it basically ends up in a folder which you can import into a patient's chart or put somewhere else. We use these fax servers in small and large practices. Also for larger practices, we have a multi-line fax server that will auto-straighten/rotate pages and OCR (lets you copy and paste) incoming faxes too.

How are you reading the encrypted emails now? If you can open them and read them wouldn't copy/paste to a folder work? Why not have the vendors just fax to your Updox # (cost of increased Updox traffic?)

I've about come to the same conclusion. It's just I didn't want to support another piece of hardware. I have a Mainpine board that I can recruit to the solution. I get 5000 to 7000 pages of fax a month. Think one line will do it? New two line boards are pricey. I have a Magic Jack we use for outgoing faxes and these VoIP devices seem to be working well for faxing now. I'll have to check with Updox what transferring the number will do to our outgoing faxes on Updox. Stupid Direct mail is supposed to be taking care of this problem but no one seems to be able to make it work.

Charges from Updox are getting close to $300 a month for the excess faxes. We purchase a lot of fax bundles ($10/500). The plugins for outlook and gmail to decrypt attachments work pretty well and I have been able to save the files in decrypted state, but I can't get automation to use the plugin and it would be too much time for someone to sit there and click through the process for 3000 documents.

I get 5000 to 7000 pages of fax a month. Think one line will do it? 200 pages a day? WOW. Given that most of the faxes are coming during business hours, I would think you might need multiple lines. One option would be to reserve a second line for small faxes and complete medical records or the like are directed to fax board. We use Brother MFC fax printers, but do 10-20 pages a day. Might work for the low volume stuff but not sure about that high volume.

Do you still like the Mainpine fax boards as the solution? Yes, still the best option in my opinion. Very reliable.

Yea most people just add it into their existing server. 5000-7000 should be fine for the 1-Line model. Mainpine is one of those things you just install and forget which is why they come highly recommended. Once they're setup, you don't really need to do anything with it. If you already have a server/client setup, you can fax from any client in the domain. Unlimited users.
